Job Title: HSQE Administrator
Department: HSQE

Reports to: HSQE Manager
Job Type: Full-Time / Hybrid (may be required to work from different company sites or from home as instructed or agreed with the line manager)

Summary
The HSQE Administrator assists in planning, implementing, monitoring, and reporting on health, safety, quality, and environmental programs within the organization. This role involves administrative tasks, documentation management, and collaboration with various departments, contractors, and customers to ensure compliance with regulations and standards.
Key Responsibilities
1. Documentation Management
Maintain and organize HSQE-related documents, records, and reports, including scheduling meetings, managing calendars, and ordering supplies.
Ensure documentation is up-to-date, accurate, and easily accessible.
Assist in creating and revising HSQE policies, procedures, and manuals.
2. Compliance Monitoring
Monitor compliance with HSQE regulations, industry standards, and internal policies.
Assist in conducting regular audits and inspections to identify non-compliance issues.
Help prepare and coordinate internal and external audits and inspections.
Ensure all necessary documentation is available for auditors and inspectors.
Update compliance tracking systems as needed.
Collaborate with internal teams to develop and track corrective action plans.
3. Training Support
Coordinate and schedule HSQE training sessions for employees.
Maintain training records and assist in developing training materials.
Track employee certifications and ensure training requirements are met.
4. Incident Reporting
Assist in the investigation and documentation of accidents, incidents, near-misses, and environmental breaches.
Compile incident reports and assist in root cause analysis.
Ensure proper filing and archiving of incident reports.
5. Data Analysis and Reporting
Generate, prepare, and analyze data related to health, safety, quality, and environmental performance.
Input and manage HSQE-related data in databases or tracking systems.
Prepare regular reports and presentations for management review.
6. Communication and Collaboration
Collaborate with various departments to promote a culture of HSQE excellence.
Coordinate communication within the HSQE department and with other departments.
Communicate HSQE policies, initiatives, and updates to employees.
Serve as a point of contact for HSQE-related inquiries.
7. Continuous Improvement
Participate in HSQE improvement initiatives and suggest process enhancements.
Stay informed about industry best practices and emerging HSQE trends.

Essential Criteria
Must have a full UK driving license as travel between sites may be required.
Strong commitment to health, safety, quality, and environmental principles.
Training and CPD
Complete training identified for the role by the company.
Familiarize yourself with colleagues' roles to provide cover as needed.
Perform any reasonable request by your line manager.
Education and Preferred Qualifications
IOSH Managing Safely preferred but not essential.
Knowledge of relevant certifications (e.g., OSHA, ISO9001, ISO14001, ISO45001) is a plus.
Proficiency in MS Office and document management software.
Excellent communication and interpersonal skills.
Strong attention to detail and organizational skills.
Ability to work independently and collaboratively in a team.
Basic knowledge of relevant regulations and industry standards.
Willingness to learn and adapt in a dynamic work environment.
Experience
Demonstrable experience in a similar administrative role, preferably within the construction industry, with a minimum of 3 years' experience.
Working Conditions
The HSQE Administrator typically works in an office setting but may also spend time on site. They may need to wear personal protective equipment when visiting certain areas. Regular office hours are Monday to Friday, 9am to 5pm, but longer hours, weekends, or irregular hours may be required during external audits or other reporting periods or when department deadlines are approaching.
